Outlook - Update the Global Address List

Introduction

The Global Address List (GAL) contains the names and email addresses of everyone with an account in the Trust. While the GAL updates automatically once a day, you might want to manually refresh it if you notice outdated or incorrect information. This guide will walk you through the steps to manually update your local copy of the GAL in Outlook.


Step-by-Step Instructions

Step 1: Open Outlook

  • Launch the Outlook application on your computer.

Step 2: Access the Send/Receive Groups

  1. Navigate to the Send/Receive Tab:

    • Click on the Send/Receive tab located at the top of the Outlook window.
  2. Open Send/Receive Groups:

    • In the Send/Receive section, click on the down arrow next to Send/Receive Groups.
  3. Select Download Address Book:

    • From the dropdown menu, choose Download Address Book....

Step 3: Configure the Download Settings

  1. Download Address Book Window:

    • A dialog box titled Offline Address Book will appear.
  2. Uncheck Download Changes Since Last Send/Receive:

    • Ensure the Download Changes Since Last Send/Receive option is unchecked.
  3. Select the Global Address List:

    • From the Address Book dropdown menu, select \Offline Global Address List.
  4. Initiate the Download:

    • Click the OK button to start downloading the latest version of the GAL.

Step 4: Restart Outlook

  • Once the download is complete, close and reopen Outlook to apply the updates.

  • If You Encounter Issues:
    • Ensure you have a stable internet connection during the download process.
    • If the GAL doesn't update after following these steps, consider restarting your computer and repeating the process.
