Accessing Staff Share on SharePoint

Introduction

This guide explains how to access the staff shared documents on SharePoint, either through the web interface or by syncing the SharePoint library to your device for easier access.


Accessing Documents via the Web Interface

  1. Open the SharePoint Site:

    • You should have received an email from the IT Support team containing a link to the staff shared SharePoint site.
    • Click on the link provided in the email to open the SharePoint site.
  2. Navigate to Documents:

    • Once on the SharePoint site, select Documents from the left-hand side menu.
  3. Follow the Site:

    • To easily access this site in the future, click on the star icon located at the top right-hand side of the window to 'follow' the site.
    • The site will now appear under the 'Following' section when accessing SharePoint online.

Syncing SharePoint Documents to Your Device

  1. Open the SharePoint Site:

    • Access the staff shared SharePoint site using the link provided in the email or by logging into office.com and navigating to the site from SharePoint.
  2. Select Documents:

    • Click on Documents from the left-hand side menu.
  3. Sync the Library:

    • Click on the Sync button located above the documents list.
    • Follow the on-screen instructions to complete the sync process.
  4. Access Synced Documents:

    • After syncing, the SharePoint documents will appear as a folder on your device, accessible through File Explorer.

Accessing SharePoint Documents Through Office Applications

  1. Open an Office Application:

    • Launch an Office application such as Word or Excel.
  2. Navigate to Open:

    • Click on File > Open.
  3. Select SharePoint Site:

    • Click on Sites and select AVA Staff Shared from the list.
  4. Browse and Open Documents:

    • Browse the documents and open the desired file as you would with any local document.

Note: Working within SharePoint or OneDrive ensures that your documents auto-save with every keystroke, reducing the risk of data loss.
