Manage Office365 Distribution groups - Add/Remove Members

Introduction

This guide will walk you through the process of adding and removing members from an Office 365 distribution group. A distribution group allows you to send emails to a group of people, without having to add each person individually.


Steps to Manage Distribution Group Members

Viewing Members of a Distribution Group

  1. Sign In:

    • Log into your Office 365 account using a web browser.
  2. Access Outlook:

    • Click on the Outlook app from the Office 365 app launcher.
  3. Open Settings:

    • Click the Settings icon (gear) at the top-right corner.
    • Select "View all Outlook settings".
  4. Navigate to Distribution Groups:

    • In the left pane, expand the General section.
    • Click on Distribution groups.
  5. Select the Group:

    • Under Distribution groups I own, choose the group you wish to manage.
    • Click the pencil icon to edit.
  6. View Members:

    • In the group settings, select Membership from the left menu to see the current members.
       

Adding Members to a Distribution Group

  1. Access Membership:

    • Follow the steps above to reach the Membership section.
  2. Add Members:

    • Click the + (plus) button.
    • Use the Search People function to find individuals.
    • Click the + (plus) button next to each person you wish to add.
  3. Save Changes:

    • After selecting all desired members, click Save to apply the changes.

Removing Members from a Distribution Group

  1. Access Membership:

    • Navigate to the Membership section as described above.
  2. Remove Members:

    • Click on the member you wish to remove.
    • Click the - (minus) button.
  3. Save Changes:

    • After making all necessary changes, click Save to finalize the changes.

Additional Information

  • If a distribution list is hidden from the global address book, you may not be able to view or modify its membership.
  • For assistance with hidden or inaccessible distribution lists, please contact the IT support team.
