Setting up MFA using the Microsoft Authenticator App.


1. Introduction

This guide will help you set up Multi-Factor Authentication (MFA) for your Office 365 account. MFA adds an extra layer of security by requiring a second form of verification, such as a mobile app notification or a text message code, when signing in.


2. Prerequisites

  • You must have an active Office 365 account.
  • You need access to a smartphone or another authentication device.
  • Ensure you have an internet connection.
  • The Microsoft Authenticator app is recommended for setup (available on iOS and Android).

3. Step-by-Step Instructions

Step 1: Sign in to Office 365 Security Settings

  1. Open a web browser and go to https://aka.ms/mfasetup.
  2. Sign in using your Office 365 email and password.
  3. If prompted, complete the initial login using your existing credentials.

Step 2: Choose Your Authentication Method

  1. You will be asked to set up an additional authentication method. Select one of the following:
    • Microsoft Authenticator App (Recommended)
    • Text Message (SMS) or Phone Call
  2. Click Next to proceed.

Step 3: Setting Up the Microsoft Authenticator App (Recommended)

  1. If you choose the Microsoft Authenticator App, download it from the App Store (iOS) or Google Play Store (Android).
  2. Open the app and tap Add AccountWork or school account.
  3. Scan the QR code displayed on your screen.
  4. After scanning, the app will start generating verification codes.
  5. Click Next and approve the test sign-in request.

Step 4: Setting Up SMS or Phone Call Authentication (Alternative Option)

  1. Select Phone as your authentication method.
  2. Enter your phone number and choose whether to receive a Text message or Phone call.
  3. Click Next, and enter the verification code sent to your phone.
  4. Click Verify to complete the setup.

Step 5: Finalizing the Setup

  1. Once verification is successful, click Done to complete the MFA setup.
  2. The next time you sign in, you will be prompted to verify your identity using the selected authentication method.

4. Troubleshooting

  • Problem: "I didn't receive the verification code."
    Solution: Check that your phone number is correct and that you have a network signal. If using the app, ensure it has internet access.

  • Problem: "The Microsoft Authenticator app isn't working."
    Solution: Try restarting the app or reinstalling it. Ensure it is linked correctly to your Office 365 account by re-scanning the QR code.

  • Problem: "I lost access to my authentication device."
    Solution: Contact the IT Help Desk to reset your MFA settings and set up a new authentication method.
